Functieomschrijving:

This position will ensure the department provides exceptional customer service, performs shareholder record keeping and accurately reports shareholder information to numerous parties for all funds falling under their responsibility. Telephone, fax and e-mail requests are required to be handled in a timely and professional manner. The SIRS is responsible for supervising and guiding their respective IRS and IRA.


Job duties
• Handle incoming phone calls primarily from shareholders consisting of,
  but not limited to fund prices, performance and fund documents;
• Respond to queries from fund accountants and investment managers
  consisting of, but not limited to trades processed in NTAS/Hedgetek,
  broker wires, etc.;
• Prepare response letters and/or place outbound phone calls to clients
  on issues of more complicated nature e.g. issues that require in-depth
  sorting out;
• Track pending and unresolved requests for resolution purposes;
• Meet or exceed internal and external quality standards for exceptional
  customer service;
• Forward activity sheets to Investment Managers (IM);
• General communication with the IMs, investors and colleagues;
• Review, complete missing sections and sign off new funds/series that
  were set up;
• Ensure subscription monies have been received;
• Review payments and instruct T&C/AM on 3rd party payments (e.g.
  broker wires & invoices);
• Final review of trade packages to ensure that all transactions have
  properly been completed correctly and in full;
• Check incoming faxes on N:drive against NTAS;
• Review Board Resolutions and follow up on outstanding items;
• Update NAVs in NTAS;
• Run EQ process in NTAS (in conjunction with DBM);
• Fill trades in NTAS;
• Send final confirmations to Right Fax and approve;
• Check available balances and request funds to pay redemptions ;
• Execute redemption payments;
• Approve faxes (confirmations, NAVs and statements) in RF and e-mails;
• Review and approve faxes and e-mails prepared by the IRS, IRA and
  Helpdesk members;
• Send statements through NTAS (by e-mail);
• Approve changes NTAS/Hedgetek and Outlook;
• Check audit confirmations;
• Approve/coordinate mailings;
• Review new/revised fund documents;
• Run Series Consolidation (in conjunction with DBM);
• Ensure adherence to Compliance and Audit Regulations;
• Prepare and coordinate other ad-hoc requests.
• Any other duties which the organization may require as part of the
  business

Functie-eisen:

Minimum Education: Bachelor’s degree in business economics, business administration or business-related area.

Qualifications:
• Strong oral and written communication skills;
• Fluent in and have excellent knowledge of English;
• Strong sense of responsibility;

  constructive improvement in provision of service;
• Computer literacy is essential, such as MS Excel and MS Word;
• 3- 4 relevent experience;
• Clean desk policy must be adhered to.
